- DEFINITION OF SHAREWARE

- Shareware distribution gives users a chance to try software
- before buying it. If you try a Shareware program and continue
- using it, you are expected to register. Individual programs
- differ on details -- some request registration while others
- require it, some specify a maximum trial period. With
- registration, you get anything from the simple right to continue
- using the software to an updated program with printed manual.

- Copyright laws apply to both Shareware and commercial software,
- and the copyright holder retains all rights, with a few specific
- exceptions as stated below. Shareware authors are accomplished
- programmers, just like commercial authors, and the programs are
- of comparable quality. (In both cases, there are good programs
- and bad ones!) The main difference is in the method of
- distribution. The author specifically grants the right to copy
- and distribute the software, either to all and sundry or to a
- specific group. For example, some authors require written
- permission before a commercial disk vendor may copy their
- Shareware.

- Introduction
- ============
- TimeClock was designed to modernize the timekeeping and payroll
- tasks of everyday business life. By making use of an IBM
- compatible computer system and the TimeClock program you can save
- many hours of manual effort during a typical pay period.
-
- Not only does TimeClock eliminate the need to manually tabulate
- old fashion time cards, it can improve employee communication and
- collect job cost information.

- Getting Started
- ===============
- Installation
- ============
- Please read the INSTALL.DOC file first. In most cases it will
- contain all the information you need to install the program. The
- instructions below are from the registered version and were included
- to assist those who may have received an uncompressed version.
-
- TimeClock can be installed in just a few minutes. If you are an
- experienced PC user, just make a new directory (typically TC) and
- copy on the distribution disk(s). If you are upgrading to version
- 2.3 from an earlier version, copy only the .EXE files, CLOCK.HLP and
- SYSTEM.* If you are not so experienced please perform the following steps.

- 1. Starting a the C> prompt type MD C:\TC then press the Return
- or Enter key. This creates a new sub-directory called TC.
-
- 2. Now type CD TC and press the Enter key. You are now logged
- into the TC sub-directory.
-
- 3. Place the TimeClock distribution disk #1 in your A drive
- (floppy) and close the gate.
-
- 4. Type COPY A:*.* then press the Enter key. The files from the
- distribution disk will be copied into the TC sub-directory.
- If you are upgrading to version 2.2 do only steps 2, 5 and 6.
-
- 5. Remove disk #1 and insert disk #2 and repeat step 4. This
- will complete the installation of your new TimeClock program.
-
- 6. Upgrades only! Type Copy A:*.EXE. After the programs are
- copied then type COPY A:*.HLP then COPY A:SYSTEM.* . Your
- system parameters and password will have changed so please
- remember to rest them when you first enter the program. The
- default password is still 'PW'.
-
- Note! The TimeClock program will open 13 files. Your CONFIG.SYS
- file should have a FILES= statement with at least this number.
- FILES=20 is a good choice for most programs.
-
- Setup
- =====
- Next you will need to establish a few basic parameters that tell
- the programs how you want them to work. You will also be able to
- change the password to something more original than 'PW'. If at
- anytime you are unsure of what to do, press the F1 function key
- and a help screen will be displayed.
-
- You should already be in the TC sub-directory, if not type CD\TC
- and press the Enter key. Now type TC and press the Enter key.
-
- 1

- The program will show you the files that are being opened and
- then request that you enter a password. Type in 'PW' and press
- the Enter key and the main TimeClock screen should be displayed.
- A password is also required to exit from the program. This
- feature prevents someone from changing the system time during
- TimeClock operations.
-
- Now press the F9 function key. Once more you will be asked to
- enter the password. Type 'PW' then press the Enter key. You
- should now be looking at a screen labeled 'Supervisory Menu'. Try
- pressing the F1 function key now for directions on how to select
- a menu entry. When you have read the screen press the ESC key to
- clear away the help screen and select 'Maintain System
- Parameters'.

- Turn to the section on 'Maintain System Parameters' in this
- manual. If you want more information continue to use the F1
- function key each time you need help.
-
- Once you have established your system parameters you need only
- enter your employee names and codes and you are ready to use the
- TimeClock program.
-

- Operations
- ==========
- Each time an employee punches in or out during the day, an entry
- is recorded in the Daily file. Before you can print the Payroll
- Report or the Job Cost Report or even run the Purge program,
- these entries must be transferred to the Master file. To
- accomplish this transfer you must run the program 'Close Daily
- File'. This program will transfer all of the previous days
- entries to the Master file and delete them from the Daily file.

- Before preparing your payroll you will want to run the 'Payroll
- Report' to get the time accumulation for each employee. Review
- this report carefully, and, if necessary edit the information
- using the 'Edit Master File' program. Once the editing has been
- completed you can print your final Payroll and Job Cost reports.

- Periodically you will want to run the 'Purge Master File'
- program, which eliminates out-of-date records from your system
- and improves performance of the reports. There is no requirement
- to run the purge program regularly, however if you are using CCVT
- to convert Master file data to another format you will want to
- purge more frequently.

- Punch In/Out
- ============
-
- By now you probably already know that pressing the F10 function
- key from the main TimeClock screen, calls up the Punch In/Out
- window. If you haven't already tried it, do so now.
- Enter an employee file number. Note that the program will fill
- in the leading zero's for you. The program will verify the
- employee code and read the employee's name and the default cost
- center from the employee file. You may accept this cost center
- (or blank) by simply pressing the Enter key or you may enter a
- new one. If an employee message was entered into this employee's
- record, it will also be displayed.

- The program will next check to see if there is already one or
- more records for this employee to determine if this punch is an
-
- 2
- 'in' or an 'out'. To allow for shifts that span midnight this
- search looks as far back as 12:00AM of the previous day. The
- result is displayed in the upper right corner of the punch
- window. Exception.. If the employee's last punch was an 'in' on
- the previous day, and nine or more hours have passed, the
- exception screen will be displayed. This screen advises the
- employee that he/she is about to be punched 'out', and allows
- them to reverse the punch.

- The punch window will remain on screen until another key is
- pressed or until the message display time expires. The message
- display time is one of the values you entered during the setup
- process. Employee specific messages are automatically cleared
- from the employee file on the first punch following their entry.

- Supervisory Menu
- ================
- To display the supervisory menu, press the F9 function key while
- the main time clock screen is being displayed. The password
- window will be displayed, enter your password, then press the
- Enter key. If you enter an incorrect password, three beep's will
- sound. This feature alerts you when someone else is trying to
- gain access to the supervisory functions.

- Selections from the supervisory menu can be accessed by directing
- the selection bar to the desired item with the up-arrow or down-
- arrow keys then pressing the Enter key. You may also type the
- first character of a selection and the program will find the
- first entry that starts with that character.

- Supervisory Punch
- =================
- Pressing the F10 function key from the Supervisory Menu will gain
- access to the Supervisory Punch feature. This is a specially
- designed program which allows post-facto punch entries directly
- into the MASTER file. Each time it is used, two entries are
- written to the file, one for the IN time and another for the OUT
- time.

- Enter the employee file number and press the <Enter> key. This
- will cause the employee name to be displayed, and move the cursor
- to the Punch Type field.
-
- The Punch Type creates a dedicated code for vacation, sick leave
- or holiday in the Cost Center field ($VAC, $SCK and $HOL), each
- of which is reported separately by the Payroll Report. To make a
- selection, use the right-arrow or left-arrow keys or enter the
- capitalized letter which represents your choice, then press the
- <Enter> key. Only the 'Other' selection will allow entry into
- the Cost Center field.

- If you select 'Other' you may then enter the cost center of your
- choice. If you use the $ as the first character of the cost
- center ($COMP) the time entered will be collected in the 'Other'
- category on the Payroll Report (Unless you type $VAC, $SCK or
- $HOL).

- Next enter the date, the IN time and the OUT time in the same
- format you would elsewhere in the program. After the entry is
- stored in the file, the cursor will return to the File Number
- field so that you can make another entry (previous selections are
- saved on the screen for you convenience and need not be re-

- entered unless they are to change).

- Caution.....Do not overlap times on a single date. This might
- happen if for example an employee worked on a holiday and you
- want to also show holiday time on the same day. Another example
- would be if an employee punched out at 10am and your punch
- indicates sick leave from 9:30am. The Payroll report cannot
- calculate the hours accurately if the times overlap.

- Employee Status Board
- =====================
- If you press the F8 function key from the main Timeclock screen,
- the employee status board will be displayed. This program will
- display the last punch for each employee as shown in the DAILY
- file. If no punch is found the employee will be shown 'OUT', and
- the time and date fields will be blank.

- You may use the Up-Arrow, Down-Arrow, PgUp and PgDn keys to
- display more employees. Press the ESC key when you have finished
- viewing the information and you will return to the main Timeclock
- screen.

- Employee Timecard
- =================
- If you press the F5 function key from the main Timeclock screen,
- the employee timecard window will be displayed. This program will
- display all the individual punches for the entered employee that
- are in the DAILY file (have not been closed).
-
- You may use the Up-Arrow, Down-Arrow, PgUp and PgDn keys to display
- more information. Press the ESC when you have finished viewing the
- data and you will return to the main Timeclock screen.

- Maintain Employee File
- ======================
- Changing employee information is accomplished in two steps,
- selection and update.
-
- The first screen to appear when you enter the program is the
- selection table. To enter a new employee press the Ins (Insert)
- key. If the table is empty the program will automatically go to
- the update screen.
-
- To modify or delete employee information you must first select
- the correct employee file number. This is accomplished by using
- the up-arrow, down_arrow, PgUp, and PgDn keys to move the
- selection bar through the table. You may also enter the employee
- file number in the selection field which causes the selection bar
- to automatically find the correct entry.
-
- Once a selection has been made, pressing the Enter key will cause
- a window to be displayed with the selected employee's
- information, allowing you to make changes or add an employee
- message.
-
- Pressing the Del (Delete) key will also display this
- window and then ask you to confirm the deletion.
-
- The employee window contains only the employee file number, name,
- default cost center, and an employee specific message. Each
- employee must be given a unique file number.
-
- The default cost center is an optional field and may be left
- blank if you choose not to use the job cost report.
-
- 4
- The employee message fields, allow you to enter a message for the
- selected employee that will be displayed when this employee
- punches in or out. The message will be deleted as soon as this
- employee punches in or out.

- Please note that when you are changing employee information you
- must enter through all the fields in the screen to make the
- change take effect or use Ctrl-Enter at any time. Ctrl-Enter
- means that you hold the Ctrl key down while pressing the Enter
- key.

- Bulletin Board Maintenance
- ==========================
- This is where you enter and/or modify the information shown on
- the bulletin board of the main TimeClock Screen. Simply type the
- information you want displayed in the fields provided.
-
- Please note that if you exit the screen (Pressing ESC from the
- first field) before you have entered through all the fields, the
- information that you have typed has not been permanently saved.
- You may also use the Ctrl-Enter feature to save your changes.
-

- Edit Daily File
- ===============
- In this program you can add, modify or delete the records
- produced by the 'Punch In/Out' functions. (Please note than only
- records than have not been transferred to the Master file can be
- edited.) The most common occurance is a failure to punch in or
- out, which requires that you add a new record.

- This program works just like the 'Maintain Employee File'
- program. To add a new record press the Ins (Insert) key and the
- update window will be displayed.
-
- To change or delete an item it must first be selected. Selection
- is accomplished by directing the selection bar with the up-arrow,
- down-arrow, PgUp and PgDn keys. This process can be speeded up
- by first entering the employee's file number in the selection
- field which will allow you to skip over the entries of other
- employees. Then use the arrow keys to fine tune your selection.

- Once an entry has been selected, pressing the Enter key will
- display the update window and allow you to change the information
- it contains.

- If you press the Del (Delete) key (after selection) the update
- window will also be displayed, and ask you to confirm the
- deletion.

- The update window contains the five items that you can enter or
- change. When you enter the employee file number the program will
- automatically fill in the leading zeros.

- The date and time fields are next. Please note that the time is
- entered in military style. 1PM becomes 1300, 2PM is 1400 and so
- on through 2400 for midnight. This is actually the fastest way
- to enter time into the computer because it eliminates the AM or
- PM keystrokes. If you have trouble adjusting just look below the
- time field and you will see the translation to AM or PM.

- exists which duplicates the one you are entering. If a duplicate
- is found you will not be allowed to proceed with this entry.

- As with the punch program, the cost center field is optional.

- You must select either in or out. You can either type the
- information into the field or select one of the choices with the
- left or right arrow keys. After pressing the enter key in the
- in/out field, the information is saved and you will be returned
- to the selection table.

- Close Daily File
- ================
- As explained in the operations section, each punch (in or out)
- is saved in the Daily file. Before this information can be used
- in the reports or edited, it must be transferred to the Master
- file. When you execute the 'Close Daily File' program, this
- transfer takes place.

- You must first respond to 'Close Current Date '...A 'Yes' answer
- will allow records in the DAILY file showing the current system
- date to transfer. Warning... if you choose this option, be sure
- all employees have punched out for the day. If not the program
- will get the IN and OUT punches confused.
-
- The program begins execution when you press the return key with a
- 'Y' in the space immediately past the question mark. A pre-close
- process executes first, to determine whether anyone who punched
- 'in' on the previous day has failed to punch 'out'. If this is
- true the program will stop, display the employee code and a
- message 'IN WITHOUT AN OUT..PRESS ANY KEY'. Record each employee
- number for which the program stops for review later. This is just
- a warning message, the close will continue.

- Please note that only information dated earlier than the current
- system date will be transferred unless you answere 'Yes' to 'Close
- Current Date'.

- Warning to network users....Closing the daily file requires exclusive
- access to the file. Make sure no other users are active at the time
- of close or a network sharing violation may occur.

- Edit Master File
- ================
- In this program you can add, modify or delete the records

- Payroll Report
- ==============
- Running the payroll report is a simple as entering the date
- range and the range of employee codes for the report and a
- selection to determine if you want the times on the report
- rounded off.
-
- The report will include all of the information contained in the
- Master file beginning with the Starting Date through (and
- including) the Ending Date for the selected employee range. If
- you enter zero for the ending code the program will assign a value
- of 999999. A page break will occur after each employee's data has
- been printed.
-
- The 'lookback' date' will default to the report start date. It
- should only be used for monthly and semi-monthly payroll periods
- that begin on a day that is not the beginning of a payroll week.
- If this is the case, set the lookback date to the beginning of the
- payroll week preceeding the payroll period.

- The 'lookback' punches will be printed on the report, but will be
- used only to calculate weekly overtime.
-
- If you selected a round-off in the System Parameters then you may
- print the report rounded-off to the nearest tenth or quarter
- hour. You may also run the report without the rounded-off
- values. To choose, type yes or no in field or select the answer
- you want with the left or right arrow key. When a 'Y' appears
- next to the question mark, the selection is Yes.

- Supplied punches If an employee's last punch for the reported

- day is an 'in,' the report program will 'supply' a punch at
- 11:59PM. If an employee's first punch of the day is an 'out',
- the program will 'supply' an 'in' at 12:00AM. Supplied punches
- are identified on the report with the word 'supplied' at the far
- right of the line.

- Sub-Totals.. The program will print a sub-total of the hours
- worked for each employee after every 7 calendar days, beginning
- with the report starting date or the lookback date whichever is
- the earliest.

- Job Cost Report
- ===============
- Running the Job Cost Report is basically the same as running the
- payroll report.
-
- The report will include all of the information contained in the
- Master file beginning with the Starting Date through (and
- including) the Ending Date for the selected range of cost
- centers. It does, however group the figures and sub-total them
- by Job Cost Center.

- When entering the Starting Cost Center you may leave the field
- blank to start with the first cost center in the file. The
- Ending Cost Center should be larger (alphabetically) than the Beg-
- ining Cost Center. If you leave the Ending Cost Center blank the
- program will assign a value of ZZZZ... (all Z's) to this field.

- If you selected a round-off in the System Parameters then you may
- print the report rounded-off to the nearest tenth or quarter
- hour. You may also run the report without the rounded-off
- values. To choose either type yes or no in field or select the
- answer you want with the left or right arrow key.

- Supplied punches If an employee's last punch for the reported
- day is an 'in', the report program will 'supply' a punch at
- 11:59PM. If an employee's first punch of the day is an 'out',
- the program will 'supply' an 'in' at 12:00AM. Supplied punches
- are identified on the report with the word 'supplied' at the far
- right of the line.

- Purge Master File
- =================
- There is no practical limit to the amount of information that can
- be stored in the Master file, but as the file size grows the
- reports will have more and more records to sort through to find
- your data. If you Purge the file periodically you will reduce
- the amount of data stored and improve the performance of the
- reports. If you use CCVT to export data you will probably want
- to Purge more often, since this utility will export the entire
- file.

- When the Purge is run, only records older than the date you enter
- will be deleted. Be sure to back up the Master file and its
- index files before you run this program. The file names are
- MASTER.DAT, MASTER.K01 and MASTER.K02.

- Maintain System Parameters
- ==========================
- This program stores information in a file that is used by the
- other programs to make certain features automatic or control
- their operation.
-

- The passwords you enter here is used for entrance to the
- TimeClock program, on exit and to gain access to the supervisory
- menu. If you forget your passwords the only way you can gain
- access to the programs again is to reload the SYSTEM.DAT file
- from your distribution diskette. This will set all passwords and
- the other values back to their initial value. (PW)

- The 'Print after Punch' allows you to decide if you want to
- connect a printer to you TimeClock station. If a printer is

- punches in or out, a message is sent to the printer. This gives
- you a printed record of your employees activity.

- Message time is the length of time in seconds (1-99) that the
- punch window will remain on the screen if no one presses a key.
- Ten seconds seems to be a good value, but feel free to experiment.
-
- You may select either 'None', 'Tenth' or 'Quarter' for the round-
- off parameter. If for example you select 'Tenth', you will then
- be able to print the reports with the time values rounded to the
- nearest tenth of and hour. Even if you select a value here you
- will always have the option to print the reports without
- rounding.

- The overtime parameters are separated into two categories, daily
- and weekly. Daily hours are checked first to determine how many
- hours exceed the 'premium parameter' and converts this time to
- premium time. Any remaining hours that exceed the 'overtime par-
- ameter will be converted to overtime and the balance will be con-
- sidered regular hours. If a parameter is set to zero then no
- calculation will be made.

- Weekly hours are processed in much the same way, but the
- calculations are only concerned with the regular hours that
- remain after the daily hours have been processed. Once again
- setting a parameter to zero will prevent the calculation.

- Remote Punch In/Out
- ===================
- A remote Punch program is included on your distribution disk. It
- is designed to allow employees to punch in or out from their
- individual workstations in a network environment and to see the
- Timeclock bulletin board.

- To use the program the employee would log onto the TC sub-
- directory and type PUNCH then press the Enter key. The punch
- window will appear on their screen without displaying the main
- TimeClock screen. Punch in or out operations are otherwise
- identical to the main program.

- This program will automatically exit after 60 seconds if the process
- is not complete.

- File Conversion
- ===============
- A special utility is included with your programs to allow down-
- loading information from your TimeClock program to other programs
- such as a spread sheet or payroll program. This utility is not
- shipped with the unregistered version.

- DAILY.DAT ......TimeClock Daily File
- MASTER.DAT......TimeClock Master File
- EMPLOYEE.DAT....TimeClock Employee File

- To invoke the program, log in to the TC sub-directory (CD\TC) and
- type CCVT. The screen that appears requires that you enter some
- information before the conversion takes place.

- TimeClock file are in the Clarion format, which is the default
- selection for 'Input Type'. Just press the Enter key.

- For 'Input File' type one of the file names above. Normally the
- MASTER.DAT file.
-
- For 'Output Type' you may select dBaseII, dBaseIII, DIF or BASIC.
- The option you choose is determined by the program that will
- read the 'Output File'.
-
- Your last selection is the 'Output File'. This is the file that
- will contain the results of the conversion. A choice such as
- MASTER.OUT would be very logical for the Master file. We do not
- recommend using MASTER.DAT for output file name since the
- information in your Master file would be replaced.

- Time in the output file is given as the number of 1\100th seconds
- since midnight. If you divide the time by 100 the result will
- equal the number of seconds since midnight. Dividing this result
- by 60 will yield the number of minutes since midnight. Once more
- divide by 60 and you will have the number of hours.

- Dates in the output file are given as the number of days since
- December 28, 1800. January 1, 1991 will be represented by the
- number 69,400.

- Barcodes
- ========
- Barcode readers used with the TimeClock program should be of the
- "wedge" type. Wedge type readers are designed to connect both
- the barcode reader and keyboard to your PC through the keyboard
- connector. Several manufacturers produce either the conventional
- wand type device or those which allow you to pass a card through
- a slot.

- Any barcode system than can duplicate the key strokes normally
- used for punching in or out should work quite well. For example
- if we were going to set up the code sequence for employee 000231,
- we would use (F10)(000231)(Return). The parentheses should not
- be included.

- Screen Saver
- ============
- Your TimeClock program includes an automatic screen saver feature
- which will blank the screen after five minutes have passed
- without a keyboard entry. Your screen will reappear when any key
- is pressed.
